Bookify can now automatically create Zoom meetings for appointments marked as “pending” using the Create Meetings for Pending Appointments option.

Admins can view, edit, delete, and start meetings directly from the dashboard. This helps admins to gain full control over the appointment lifecycle in this software release cycle.

You can assign Zoom accounts to individual staff members so each can run their own sessions independently.

Note: Free Zoom accounts support only one user connection. To add more, go to Zoom > Admin > Add Users and upgrade your plan.

How to Set It Up 

Here’s a quick setup guide for this new product release:

Step 1: Create a Server-to-Server OAuth App in Zoom

  • Click Build App and select Server-to-Server OAuth

  • Enter app details and copy the Account ID, Client ID, and Client Secret

Step 2: Integrate Zoom into Bookify

  • Navigate to Admin Dashboard → Bookify → Settings → Integration

  • Paste your credentials into the Zoom section

  • Set a custom meeting title and agenda using placeholders

  • Enable “Create Meetings for Pending Appointments.”

Step 3: Create Zoom-enabled Services

  • Go to Bookify → Services
  • Create a service and toggle Enable Zoom Meeting

Step 4: Assign Zoom Users to Staff

  • Go to Bookify → Staffs
  • Assign the Zoom email address used when creating the OAuth App

Customer and Admin Experience

This note release introduces improvements on both ends of the booking experience.

For Customers:

  • Customers can view their scheduled appointments on a front-end page using the [bookify_appointments] shortcode
  • They can join a Zoom meeting via the “Join Now” button
  • Customers may cancel an appointment unless it’s already confirmed by the admin

For Admins:

  • Admins can manage appointment status from Bookify → Appointments
  • Use Start Now to activate the Zoom session
  • Use Join Now to join as a participant
  • Edit or delete appointments using the respective action buttons

Important: Zoom meetings will not go live until the Start Now button is clicked. If a user tries to join beforehand, they will see the Zoom waiting screen.
